Oral Presentation Preparation Information

This page provides information for people who are making oral presentations at the 2020 Annual Merit Review and Peer Evaluation Meeting (AMR).

Oral presenters will be allotted 30 minutes total—20 minutes for the prepared presentation followed by 10 minutes for questions and answers. Time limits will be strictly enforced.

See a general overview of the review process.

Creating Your Presentation

As a presenter, you are required to create the following files.

  • A PowerPoint file that will be used for presentation at the AMR. This file must be created in PowerPoint following the instructions, format, and guidelines referenced in the oral presentation template.

Download the applicable oral presentation template for your project:

  • An Adobe PDF file of your PowerPoint presentation. Once your PowerPoint presentation is complete, you must follow the instructions and guidelines within the oral presentation template to create this file. This PDF will be made available on electronic media at the meeting, made available to reviewers in PeerNet if applicable, and posted on the Hydrogen and Fuel Cells Program website after the meeting. Please note that PowerPoint animations, slide transition effects, and embedded videos will not be included in the PDF files.

Review your PDF file to confirm that all content from your PowerPoint file was completely captured within the PDF during conversion.

Name your PowerPoint and PDF files using the name provided to you in your original notification email: (proj#)_(PI last name)_2020_o.

Do not include any information that is proprietary or confidential in your presentation. Make sure any material used from subcontractors and project partners meets this criterion. If copyrighted material is included, it must be used with permission and attributed properly. Please submit the written copyright permission along with the presentation.

If your PowerPoint file contains videos for purposes of presentation, it is critical you follow the instructions within the Oral Presentation Template for embedding them into your presentation.  Otherwise, they may not play correctly at the AMR.

Submitting Your Presentation

Submit your presentation by April 3, 2020. The lead time is needed so that electronic media containing all of the presentations can be prepared and made available at the meeting, so that reviewers will have sufficient time to review your presentation prior to the meeting, and for preparation of your presentation for display/projection.

Submit your presentation to ORISE by sending an email with the following items to

  • Your PowerPoint presentation file
  • The Adobe PDF file of your PowerPoint presentation
  • The slide numbers from the PowerPoint presentation that contain videos
  • Information as to whether your presentation was created using a MAC or PC
  • Information about any PDF content/conversion issues that you can't resolve on your own.

If your presentation files are too large to submit through email, request an alternative delivery option by sending an email to ORISE at

Please note that updated presentations will not be accepted on-site at the AMR. Project achievements made after the April 3, 2020, submission deadline may be presented verbally.

Schedule Overview

Presenters will be notified via email with the times and dates of their presentations. In addition, the agenda page provides the time and date for each presentation. Please refer to it frequently as information is subject to change.

At the Review Meeting

All oral presentations will be preloaded on laptops in each session room. Personal laptops and/or updated presentations will not be allowed at the time of presentation. Session moderators and AV technicians will be on-site to assist speakers and to enforce presentation timing. Speaker Ready Stations will be available during the AMR for testing and presentation review. The location and hours for the Speaker Ready Stations will be provided to you as the meeting approaches.

After the Review Meeting

Presentations will be posted on the Hydrogen and Fuel Cells Program website a few weeks after the AMR and linked from the past meetings page. A report containing the results of the project reviews will be published on the website approximately three to four months following the AMR. When the presentations and report are available, they will be advertised on the website.
